Cleard is the trading name of Harry Farmer-Hill, a sole trader providing card payment introductions and related support to businesses.

Harry Farmer-Hill is the controller responsible for the personal information described in this policy.

Information we collect

  • Information about your current card payment arrangements, transaction volumes and requirements.

Please do not submit full card details, passwords or sensitive financial credentials through our enquiry forms.

Where information comes from

We collect information when you contact us, use our website forms or complete our Facebook or Instagram lead forms.

We also obtain business contact information from commercial business data suppliers for telephone prospecting. This may include information originally collected from public business sources. You can contact us to find out the specific source of information we hold about you.

We may receive updates from Verofy concerning an introduction, application or customer relationship we help manage.

How and why we use information

We use personal information to:

Advertising enquiries and telephone marketing

When you submit a Facebook or Instagram lead form, we use your details and answers to follow up on your enquiry by telephone or email and discuss a suitable quote.

Meta also processes information under its own privacy policy.

We may use business contact information obtained from data suppliers to make relevant live marketing calls, subject to applicable telephone marketing rules.

We retain a minimal suppression record where necessary to ensure we respect your objection. Submitting an enquiry does not automatically subscribe you to unrelated email or text marketing.

Who receives your information

We share relevant information with Verofy where needed to arrange a quote, introduction, application or related support. Verofy is responsible for its own processing of information under its privacy notice, which should be read alongside this policy when using its services.

We also use:

  • Squarespace to host and operate our website.

  • Zoho CRM to manage business contacts, enquiries and customer records.

  • Microsoft 365 for email, documents and business administration.

  • Google Analytics to understand website use.

  • Meta Pixel to measure advertising results and support relevant advertising.

Google and Meta receive website information according to the tracking technologies in use and your consent choices.

We may also disclose information to professional advisers, public authorities or other parties where required by law or necessary to establish, exercise or defend legal claims.

International transfers

Our technology providers may process information outside the UK.

Where a transfer requires safeguards under UK data protection law, we rely on an applicable adequacy arrangement or appropriate contractual safeguards.

How long we keep information

We retain information only for as long as needed for the purpose for which it was collected.

For enquiries and prospective customers, we consider whether the enquiry remains active, the time since meaningful contact and whether there is an ongoing, reasonable business need to retain the information.

For customer and referral records, we consider the duration of the relationship, ongoing support needs, accounting and tax requirements, and the need to resolve complaints or legal claims.

Marketing records are assessed for continuing relevance and accuracy. If you object to marketing, we stop using your information for that purpose and retain only the information needed to honour your objection or meet another lawful requirement.

Information that is no longer required is deleted or anonymised.

Rejecting advertising or analytics cookies does not prevent you from submitting an enquiry.
